This Refund and Cancellation Policy applies to all Professional Studio Shoot services provided by AEFM International (ABN 54 123 099 180). By booking and paying for our services, clients acknowledge and agree to the terms outlined below.
IMPORTANT: This policy is subject to the Australian Consumer Law. Nothing in this policy excludes, restricts, or modifies any consumer guarantee, right, or remedy that cannot be lawfully excluded under the Australian Consumer Law or other applicable legislation.
Understanding Your Payment
1.1 Service Fee
The Professional Studio Shoot service fee is AUD $1,320.00 (including GST).
1.2 What Your Payment Covers
Your payment includes costs that are committed immediately upon booking confirmation:
Professional Photographer Booking: $520
Studio Venue Hire: $375
Post-Production & Editing (10 images): $250
Administrative & Coordination: $175
Total: $1,320.00 (GST inclusive)
These costs are incurred by AEFM International at the time of booking confirmation, regardless of whether the shoot proceeds. This is why our refund policy operates as outlined below.
1.3 Buy Now Pay Later (BNPL) Payment Option
Where the Client elects to pay using a Buy Now Pay Later (BNPL) facility, the following terms apply in addition to this policy:
The BNPL facility is a separate credit arrangement between the Client and the BNPL Provider
An initial deposit of $264.00 (20% of the Total Booking Fee) is required prior to BNPL application
The balance of $1,056.00 will be financed through the BNPL facility and repaid in four (4) equal fortnightly instalments
The shoot will not proceed until both the initial deposit is received and the BNPL facility is approved

1.4 Payment and Service Delivery
IMPORTANT – PLEASE READ CAREFULLY
The Client acknowledges and agrees that:
The Client’s obligation to pay (whether directly or through a BNPL facility) is unconditional and independent of the outcome, quality, or the Client’s subjective satisfaction with the shoot or the final images
Where payment is made via a BNPL facility, the Client must continue to make all scheduled repayments to the BNPL Provider regardless of any dispute with AEFM International regarding service delivery
Any dispute concerning the services provided by AEFM International must be resolved directly with AEFM International in accordance with Section 6 and shall not affect the Client’s payment obligations
AEFM International incurs significant costs upon booking confirmation, including photographer engagement, studio hire, and administrative coordination, which cannot be recovered if the shoot does not proceed due to the Client’s default, change of mind, or dissatisfaction
Failure to make payments to a BNPL Provider may result in adverse consequences including late fees, collection action, and negative credit reporting, for which AEFM International bears no responsibility
2. Refund Policy
2.1 General Position on Refunds
Due to the significant costs committed immediately upon booking (as detailed in Section 1.2), payments are generally non-refundable.
However, AEFM International will provide refunds where:
We fail to deliver the services as described in the booking confirmation
There is a major failure in service quality that cannot be remedied
We are unable to provide the services within a reasonable timeframe
2.2 Service Not Provided by AEFM
If AEFM International cancels your booking or fails to provide the agreed services, you will receive a full refund within 14 business days.
2.3 Client Change of Mind
If you change your mind about proceeding with the shoot, you are not entitled to a refund due to the committed costs outlined in Section 1.2. However, you may be eligible to reschedule (see Section 3).
2.4 How to Request a Refund
Refund requests must be submitted in writing to info@aefm.com.au with:Your full name and booking reference

Supporting documentation (if applicable)
We will respond within 5 business days.
2.5 Subjective Dissatisfaction with Shoot Outcome
Subject to the Australian Consumer Law, the Client is not entitled to a refund based on:
Subjective dissatisfaction with the final images or creative direction
Personal aesthetic preferences not being met
Dissatisfaction with the Client’s own appearance in the images
Expectations that were not communicated in writing prior to the shoot
Change of mind about wanting or needing professional images
AEFM International commits to providing professional photography services with due care and skill. However, photography is inherently subjective, and AEFM International cannot guarantee that the Client will be satisfied with their own appearance or the artistic outcome. The committed costs outlined in Section 1.2 are incurred regardless of the Client’s subjective assessment of the results.
If the Client has concerns about the technical quality of the images (such as focus, lighting, or post-production), the Client should contact AEFM International at info@aefm.com.au within 2 days of receiving the images. AEFM International will review such concerns and, where a genuine service failure is identified, may offer re-editing, a partial reshoot, or other remedies at its discretion.
3. Cancellations and Rescheduling Policy
3.1 Notice Periods and Fees
AEFM International operates a graduated cancellation policy based on the notice period provided:
Option A: 72+ Hours Notice (3+ Days)
What happens: You may reschedule your shoot to a new date within 14 days of the original booking, subject to availability
Rescheduling fee: $1,070 (covers photographer rebooking, studio rescheduling, and administrative costs)
How to request: Email info@aefm.com.au with at least 72 hours notice before your scheduled shoot time
Limitations: Only one (1) rescheduling permitted per booking
Option B: Less than 24 Hours Notice or No-Show
What happens: Full payment of $1,320.00 is forfeited
Reason: All costs have been fully incurred (photographer contracted, studio hired, preparation completed)
No rescheduling available: If you wish to book a new session, you must pay the full $1,320.00 service fee again
3.2 How to Submit a Rescheduling Request
Email info@aefm.com.au with:
Subject line: “Rescheduling Request – Your Name”
Your full name and booking reference number
Original scheduled date and time
Minimum two (2) preferred alternative dates within the 14-day window
Payment confirmation for the applicable rescheduling fee
We will confirm your new booking date within 5 business days of receiving your rescheduling fee payment.
3.3 Rescheduling Availability
Rescheduling is subject to photographer and studio availability and is not guaranteed. If a suitable alternative date cannot be arranged within the 31-day window:
Your rescheduling fee will be refunded
Your original $1,320.00 payment will be forfeited (as costs have been incurred)
You may book a new session by paying the full $1,320.00 fee again
4. Exceptional Circumstances
4.1 Medical Emergencies and Serious Events
In cases of genuine hardship, we may exercise discretion. If you cannot attend due to:
Hospitalisation or serious illness (yours or an immediate family member’s)
Death of an immediate family member (parent, sibling, spouse, child)
Natural disaster preventing travel
Other exceptional circumstances at our discretion

Your request for consideration
AEFM International will review such requests on a case-by-case basis at our sole and absolute discretion. We may offer:
Rescheduling without additional fees, or
Partial refund, or
Credit toward future services
Important: Even in exceptional circumstances, we cannot guarantee a full refund due to costs already incurred. Any decision made is final and does not set a precedent for future bookings.
5. Cancellation By AEFM International
5.1 Our Right to Cancel
AEFM International reserves the right to cancel or reschedule a booking due to:
Photographer illness or unavailability
Venue unavailability or technical issues
Equipment failure
Force majeure events (natural disasters, pandemic restrictions, government orders)
Safety concerns
5.2 What Happens If We Cancel
If we must cancel your booking, you will receive:
An alternative date at no additional cost (we will work with you to find a suitable date)
5.3 Our Liability
If we cancel your booking, our liability is limited to:
Rescheduling to suitable mutual suitable time
Providing the service on an alternative date at no additional cost
We are not liable for any consequential losses, including:
Travel costs you may have incurred
Accommodation expenses
Lost opportunities or other bookings
Time off work
Disappointment or inconvenience
6. Dispute Resolution
6.1 Contact Us First

6.2 Your Consumer Rights
You have rights under the Australian Consumer Law including:
The right to services provided with due care and skill
The right to services fit for purpose
The right to services delivered within a reasonable time
If you believe we have breached these guarantees, you may be entitled to a remedy including refund or compensation. For more information about your consumer rights, visit: www.accc.gov.au or contact your local Fair Trading office.
6.3 Formal Dispute Resolution Process
If a dispute cannot be resolved by direct negotiation within fourteen (14) days, either party may refer the matter to mediation before a mediator agreed by the parties, or failing agreement, appointed by the President of the Law Institute of Victoria.
The costs of mediation shall be shared equally between the parties unless the mediator determines otherwise.
Nothing in this section affects the Client’s rights under the Australian Consumer Law or to seek urgent interlocutory relief from a court of competent jurisdiction.
7. Payment and Acceptance of Terms
7.1 Payment Required Before Service
Full payment of $1,320.00 is required before the shoot date. Services will not be rendered until payment is received and confirmed.
7.2 Agreement to Terms
By proceeding with payment, you confirm that you have:
Read and understood this Refund and Cancellation Policy
Read and understood the Payment Terms
Read and understood the Model Management Agreement (where applicable)
Read and understood the BNPL Plan Financing Clause (where applicable)
Had the opportunity to ask questions before booking
Agreed to be bound by these terms
We recommend printing or saving a copy of this policy for your records.
7.3 Interstate Bookings – Special Condition
For interstate portfolio shoots where AEFM International has arranged for a photographer to travel interstate, no rescheduling is available due to the significant additional costs incurred (flights, accommodation, studio and lighting costs, travel time). In such cases:
72+ hours notice: No refund; no rescheduling; full $1,320.00 forfeited
Exceptional circumstances will be considered on a case-by-case basis with supporting documentation
This condition will be clearly communicated in your booking confirmation if it applies to you.
7.4 BNPL Payment – Special Conditions
Where the Client elects to pay using a BNPL facility:
Non-approval: If the BNPL facility is not approved prior to the shoot date, the Client must either pay the balance in full or reschedule (subject to Section 3)
Deposit forfeiture: If the Client fails to secure alternative payment or rescheduling within the required timeframes, the initial deposit of $264.00 is forfeited due to committed costs
Notification deadline: AEFM International will notify the Client of BNPL approval status at least 96 hours prior to the scheduled shoot date
Election deadline: The Client must elect an alternative option (full payment or rescheduling) at least 72 hours prior to the scheduled shoot date
8. Amendments to the Policy
AEFM International reserves the right to update this policy from time to time. The version in effect at the time of your booking will apply to your booking. We will not retrospectively apply policy changes to existing bookings.
9. Governing Law
This policy is governed by the laws of the Commonwealth of Australia and the State of Victoria. Any disputes will be subject to the jurisdiction of the courts of
Victoria, Australia.

By proceeding with your booking and payment, you acknowledge that:
You have read and understood this Refund and Cancellation Policy in full
You understand that payments are generally non-refundable due to committed costs
You understand the rescheduling options and associated fees
You understand that AEFM International will comply with Australian Consumer Law
You understand that payment obligations are independent of your subjective satisfaction with the shoot outcome
If using BNPL, you understand that repayments to the BNPL Provider must continue regardless of any dispute with AEFM International
You have had the opportunity to ask questions before making payment
You agree to be bound by these terms
Comply with all state-based child employment laws including obtaining permits where required;
Limit working hours in accordance with relevant legislation;
Provide appropriate supervision and safe working conditions.
